This role is a Committee MemberBrief Description
Manages all correspondence to the society, books appropriate rooms for Committee meetings, rehearsals and productions and books shows with the relevant licence holders
Knowledge
- Familiarity with the society’s Constitution
- Organisational skills
- Familiarity with word processing software
Responsibilities
- Be responsible for all communications sent on behalf of the Management Committee, but shall not commit the Society in any way without the Committee’s approval
- Be responsible for all communication received to the society and report it to the Committee as quickly as necessary
- Arrange dates of productions and book rooms for rehearsals and performances
- Maintain accounts with licence holders on behalf of the society
- Book agreed shows with licence-holders and act as liaison between them and the society, ensuring the requirements of any licence are met
- Regularly attend rehearsals of the Society and keep the notice board updated
- Ensure all society officials are fully aware of their responsibilities
- In the absence of an Assistant Secretary, undertake their duties as well

Suggest show dates for next three years and, once ratified by Committee, book the agreed venue. Ensure an appropriate room is booked for every rehearsal. Agree AGM date. Once shows selected by Selection sub-Committee and agreed by Committee, book licences with licence-holders. Liaise with licence-holders on all matters and ensure any deposit is paid by the Treasurer. Ensure the requirements of the licence are fully understood and fulfilled by any relevant person within the society (e,g, Director, Publicity Manager). |

Attend rehearsals regularly so that the current business of the society can be dealt with. Ensure the notice board is kept up to date. |
